In today’s complex environment with increasingly demanding Client/Provider reporting requirements, it’s not enough for a Case Management system to just do the basics; it needs to be adaptable. LegisSQL Case Management is scaleable and is designed to handle the complexities of today’s Personal Injury process and the inevitable changes that tomorrow will bring.  

Toolbars 

LegisSQL toolbars can be customised to suit the way you want to work. Toolbars are very powerful allowing complex processes to be run at the touch of a button.  Typically within the PI application the toolbars available will be for standard processes, letters and documents, court processes and  contacts.  Where applicable, information gathered by running the processes is automatically written back to the database.

The standard processes toolbar allows you to generate user-defined tasks, blank letters and emails:  Click on an icon to pull up a list of all the matter contacts with their details:  View, update and amend damages and disbursements, track information requested and log information regarding liability and motor insurer matters.

The letters and documents toolbar gives quick access to all initial letters, offer letters, medical letters, settlement letters and so forth making it easier to find the processes you want.

The Court processes toolbar enables you to set up and record all relevant dates for proceedings; i.e. Pre Issue, Issue, Defence, Directions, Judgment, Warrant, and other related processes.

Maintaining contact details is a very simple and straight forward process. Contacts may be stored at matter or reference (shared across all matters) level.

Matter Inception

The inception process can be tailored to suit your different Client/Provider requirements.  There is an out of the box PI inception process available within LegisSQL. You can run the script to manually incept data, or have an automated process that takes new matter data from your practice management system and incept it automatically into LegisSQL.  Your clients can send data in a specified format so that it is automatically incepted into LegisSQL.

Once a matter is incepted, easy to use screens allow for loading of all relevant information, relating to clients, other parties, witnesses and so forth. Again all relevant information is captured for re-use/reporting.

Single/multiple clients

You may limit the system to have only one client per matter or should you wish, LegisSQL for PI RTA allows multiple clients per matter.  The pre defined processes allow documents to be generated and tracked for each client.  Financial data will be stored relative to each client.

Documents

Documents may be simple templates, which launch straight into Word for customising.  More complex documents prompt for data as they are loaded.  Documents can be generated singularly or grouped together to save time.  The powerful document generation facility allows for workflows to be generated. Automatic tasks can be set up for the fee earner or escalated to line managers.

A typical group may include the initial letters to other parties and witnesses.  Users can, at the click of a button, generate the letter before action, letters to all witnesses and request a police report.  Rules can be easily applied to each individual letter in the group to control the routing.  For example the group may contain one letter that is output to Word, another to e-mail and a third to Fax.  This can be controlled by the fee earner or simply driven by rules contained within the system.

All documents are saved behind the diary history and can be viewed and edited as required.

LegisSQL allows for output to Word and Excel.  Word is the normal output device but more and more legal firms want to output complex schedule of losses to Excel.

Email

LegisSQL is fully integrated with Outlook and emails can be generated from within the case management system, they can also include the attachment of documents from behind the diary history. If an email is generated from within LegisSQL, and a reply is received, the system can automatically attach the email to the correct matter and generate a notification task for the fee earner.  It does this by embedding a unique code in the outgoing email that it can recognise on return.

Email can also be routed manually and attached to the matter to ensure the  diary history is fully updated.

Scanning

Incoming post can be scanned and attached to a matter and again it can generate a notification task for the fee earner.  By flagging special documents as they are scanned the system can also compile bundles in PDF for sending out.  This is particularly useful for creating medical bundles on complex clinical negligence cases and for generating trial bundles via a very powerful yet simple scanning import facility within LegisSQL. LegisSQL has been the driving force for some firms to adopt a truly paperless operation.

Application integration

LegisSQL is fully integrated with LaserForms and RightFax network fax system.

LaserForms can be fully coded so that they can be populated with the stored data. This leaves little editing to be done once LaserForms is launched.  The forms can also form part of a grouped document; so for example, included in a pre issue group of documents would be a letter to the client enclosing the particulars of claim, the schedule of losses, statements and the N1 claim form.

By using RightFax fee earners can send and receive faxes directly from their desk.  Incoming documents can be faxed straight out without the need for photocopying.  A record of the outgoing fax can be stored in the Diary history.

Financial Information

All financial transactions can be stored within the Financial grid. Store client losses and expenses – by keeping track of all the clients’ losses you can produce the schedule of losses at the click of a button.  Outlay items are also fully tracked and the system will flag the need for repayment.  Outlay is broken down for the motor insurer, travel insurer, private medical insurer, employers etc.

Disbursements and fees can be stored as and when they are incurred.  Even if the amount is not known initially a zero disbursement will be entered as a reminder that it will eventually need paying.

Cheque requests can be generated at the appropriate time or reporting can show disbursements that need to be paid for a given time.

Information Tracking

Special letters requesting other parties to supply information automatically feed into the Information  Tracking grid. This information can be easily viewed or reported on. When the information has been received the entry status in the grid can be updated. This is particularly useful for tracking medical records in complex clinical negligence cases for example.

Help

There is a comprehensive on-line context sensitive help system available with the PI application. This can easily be extended to include guidance on legal processes and in house policies and procedures for new staff.

Reporting

Internal reporting allows for monitoring of caseloads and multiple client matters, limitation dates, case duration and much much more.  Information at the fingertips assists in the tendering process for new work, by reporting on the number of matters of a certain type and the value of those matters.

External reporting can keep providers up to date on a daily basis as to the cases accepted and rejected on the previous working day, showing the matter reference and fee earner.  Report on the number of open and closed cases per month and on the key stage that each case has reached.

Data Storage

Data is stored at two levels, reference (available to all matters) level and specific matter level. Both are fully relational. 

At reference level data can be held for hospitals, medical agencies, police, etc, this data is reusable and can be kept up to date by an administrator so that if the data changes the information is automatically fed back down to matter level.

At matter level you can store details of employers, litigation friends, home helps, etc, giving you the ability to write to them again and again.

Highly configurable

If you feel there is anything you need to change in the system, whether it be creating or tailoring Word Templates, amending or adding new screens or processes, the LegisSQL family of products ensure this is very simple to achieve and with minimal training for the system administrator.
